Privacy Policy

This Privacy Policy describes how Canivox Inc. ("Canivox," "we," "us," or "our") collects, uses, and shares information when you use canivox.com or Canivox OS (the "Service"). By using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Information You Provide
When you create an account or use the Service, we collect information you provide directly, including:
- Account information: name, email address, business name, and password
- Billing information: payment card details processed securely through our payment provider (we do not store card numbers)
- Profile information: trainer credentials, business description, and contact details you choose to add
- Client and dog records: names, contact information, behavioral notes, session logs, and training data you enter for your clients
- Communications: any messages or feedback you send to us directly
1.2 Information Collected Automatically
When you use the Service, we automatically collect certain technical information, including:
- Log data: IP address, browser type, pages viewed, time spent, and referring URLs
- Device information: device type, operating system, and browser version
- Usage data: features used, actions taken within the platform, and session timing
- Cookies and similar technologies: used to maintain sessions, remember preferences, and analyze usage (see Section 7)
1.3 Information from Third Parties
We may receive limited information from third-party services you connect to the platform, such as authentication providers (e.g., Google login). This is limited to what is necessary to create or link your account.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service and all features you use
- Process billing, manage subscriptions, and send receipts and invoices
- Send transactional emails such as account confirmations, password resets, and platform updates
- Respond to support requests and communicate with you about your account
- Analyze usage patterns to improve the platform and develop new features
- Detect and prevent fraudulent or abusive activity
- Comply with applicable legal obligations
We do not use your client data (client names, dog records, session notes, etc.) to train AI models or for any purpose other than providing you the Service.
3. How We Share Your Information
3.1 Service Providers
We share information with trusted third-party vendors who help us operate the Service. These include cloud hosting providers, payment processors, email delivery services, and analytics platforms. All service providers are contractually required to protect your information and use it only for the services they provide to us.
3.2 AI Processing
When you use AI features (plan generation, homework sheets, client email drafts), the content you provide to generate that output is processed by our AI infrastructure. We use reputable AI providers under data processing agreements. Input data is not used to train third-party models.
3.3 Legal Requirements
We may disclose information when required by law, court order, or valid government request, or when we believe disclosure is necessary to protect our rights, prevent fraud, or ensure the safety of users or the public.
3.4 Business Transfers
If Canivox is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your information is transferred and becomes subject to a different privacy policy.
We do not sell, rent, or share your personal information or your client data with third parties for their marketing purposes.
4. Your Client Data
As a dog trainer using Canivox OS, you enter data about your clients and their dogs ("Client Data"). You are the data controller for this information. Canivox acts as a data processor — we handle this data only on your instructions and only as necessary to provide the Service.
Your Client Data is:
- Stored securely and isolated to your account
- Never shared with other trainers or third parties without your authorization
- Never used to train AI systems or for advertising purposes
- Deleted within 30 days of account termination upon request
You are responsible for ensuring that your clients have consented to their data being stored in a third-party platform and that your collection of that data complies with applicable privacy laws in your jurisdiction.
5. Data Retention
We retain your account information and usage data for as long as your account is active or as needed to provide the Service. If you close your account, we will retain your data for up to 30 days to allow for reactivation, after which it will be permanently deleted from our systems unless retention is required by law.
Billing records and transaction information may be retained for longer periods as required by financial regulations.
6. Data Security
We implement appropriate technical and organizational measures to protect your information from unauthorized access, loss, or misuse. These include:
- Encryption of data in transit using TLS/HTTPS
- Encryption of sensitive data at rest
- Access controls limiting who within Canivox can access production data
- Regular security reviews and dependency audits
No system is completely secure. If you believe your account has been compromised, contact us immediately at privacy@canivox.com.
7. Cookies and Tracking
We use cookies and similar technologies to:
- Maintain your login session so you don't have to sign in on every page
- Remember your preferences and settings
- Understand how the platform is used so we can improve it
You can control cookies through your browser settings. Disabling session cookies will prevent you from staying logged in to the Service. We do not use third-party advertising cookies.
8. Your Rights and Choices
Depending on where you are located, you may have rights regarding your personal information, including:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that we correct inaccurate or incomplete information
- Deletion: Request that we delete your personal information (subject to legal retention requirements)
- Portability: Request your data in a machine-readable format
- Opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link in those emails

9. Children's Privacy
The Service is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us and we will promptly delete it.
10. International Users
Canivox is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer. We take steps to ensure that international data transfers comply with applicable data protection laws.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Effective date" at the top and notify you by email or by a prominent notice within the Service. Your continued use of the Service after changes become effective constitutes your acceptance of the updated policy.
