Board & Train pricing is easier to evaluate when it starts with the work and capacity required for each stay. There is no universal rate that fits every facility, service scope, location, or staffing model; build your own estimate from your actual costs.
1. Define exactly what the stay includes
Write down length of stay, daily care, training time, owner updates, supplies, transport, handoff, and any aftercare. Separate included work from optional services so estimates and agreements describe the same scope.
2. Calculate direct cost per stay
- Staff hours for care, training, cleaning, records, and owner communication, including the owner’s own labor.
- Food, cleaning materials, training supplies, laundry, transport, and payment processing costs.
- Facility costs allocated to occupied capacity: rent, utilities, maintenance, insurance, and equipment.
A simple starting formula is: direct labor + variable supplies + allocated facility cost = estimated cost to deliver one stay. Use your own records and a realistic occupancy assumption; do not price from theoretical full capacity if vacancies are common.
3. Add overhead, contingencies, and a sustainable margin
Account for administration, marketing, software, taxes, continuing education, time spent on unbillable work, and the reserve your operation needs. Test what happens when a stay runs longer, staffing changes, or fewer spaces are occupied. Confirm local tax, contract, and insurance questions with qualified advisers.
4. Review the price against the service—not just competitors
Compare your calculated price with your service scope, capacity, expertise, and the clients you intend to serve. If the number is not sustainable, adjust the scope, operations, or capacity assumptions before cutting essential care or training time.
